Position Description:
The Purchaser is responsible for sourcing and obtaining raw materials for manufacturing and packaging, facility supplies, and other components to meet the ongoing needs of a busy production operation. They create and submit purchase orders to a variety of suppliers, negotiate material and shipping costs, source alternate vendors, and track purchasing timelines to improve turnaround.

The Purchaser works in step with the Production Manager to communicate any issues with vendor supplies, possible stoppages, better available pricing sought through newly sourced vendors, and ensure timely and complete stock is on hand for manufacturing. They seek out additional suppliers, building relationships with vendors and creating opportunities for optimal pricing and shipping timelines in an ongoing way.

The Purchaser should have experience procuring supplies in a manufacturing or industrial setting, and an eagerness to learn about the items we make. This role requires fastidious attention to detail, independent problem-solving, and a “no task too small” approach to service. This is an entry to mid-level position in a quickly growing company and will be an ideal fit for a focused, organized, and solutions-oriented person who can work with different people and communication styles both within and outside the organization.

Essential Functions

  • Procure the company’s raw materials, operating supplies, packaging, and other components and finished goods as required through schedule requirements or requisition specifications. Obtain the best price possible consistent with accepted industry standards, quality, service, and delivery schedules
  • Follow-up as needed on purchase orders’ item availability and arrival timeline, particularly to ensure uninterrupted manufacturing and business operation
  • Match all receivables to purchase orders to verify receipt of accurate quantities, specifications, price and delivery dates of item ordered. Maintain records of all variations to purchase orders and contact vendors or suppliers to expedite back orders or cancel as required
  • Check all supplier’s invoices for accuracy and agreed costs. Correspond with suppliers, as required, for discrepancies in invoices and with freight companies on charges, damage, or loss
  • Engage in detailed negotiations of pricing, delivery terms, service, and parts quality, as required, within limitations imposed by good purchasing practices
  • Communicate impending shortages to Production Manager and associated teams to avoid stoppage and ensure appropriate inventory levels. Search out items that appear to be serious shortages and expedite items that may involve longer lead times•Keep appropriate persons informed of delivery schedules so that proper communication can be made with customers and manufacturing team
  • Print labels for finished goods (domestic and international) as well as instructions, packing lists for kits, class packs, etc.
  • Foster and maintain strong relationship with suppliers, and develop new leads for other qualified vendors for critical items wherever possible

Skills & Qualifications
  • Excellent written and verbal communication and timely follow-up practices
  • Fundamental understanding of purchasing/logistics process for a mid-sized company and how it relates to production lifecycle and business operations•Ability to manage multiple tasks concurrently and track overlapping project timelines
  • Critical thinking in professional situations to make knowledge- and context-based decisions


Education & Experience

  • Attention to detail and continuous improvement mindset
  • High School diploma/GED completion required; Bachelor’s Degree in business, supply chain, logistics, or similar field a plus but not required
  • 2+ years’ experience within purchasing, materials or supply chain management, or an equivalent combination required•Experience with SAGE 300 software highly appreciated

Essential Duties:

  • Product assortment planning and management.
    • Includes collaboration with domestic product development/design and global marketing in Germany.
    • Includes conducting research on competitive products and monitoring trends.
  • Development of Fine Art sales and marketing materials.
    • Includes versioning where necessary of global materials and creation of custom US market materials.
    • Also includes collaboration on the creation of content for digital/social channels.
  • Key contact for trade-show coordination and execution.
    • Includes the creation of show plan/strategy, show presence, facilitating shipping of materials & product and other related coordination.
  • Faber-Castell USA Customer and Consumer Workshops and Demos.
    • Responsible for designing and executing this key marketing tool.
    • Includes travelling artist and sales rep demo programs.
  • Promotional program development: trade & consumer.
    • Example: Create email marketing campaigns for specific targets, Back to School and Holiday promotions.
    • Manage and maintain detailed marketing calendars use for executing marketing strategy.
  • Shared responsibility for forecasting, annual purchasing and inventory planning tasks.
    • Perform regular data analysis needed to generate insights and improve understanding of business dynamics.
  • Tracking of annual marketing expenses in line with agreed upon budgets.
  • Strong and regular collaboration with Sales Team to generate sales volume to meet annual budget goals.
  • Be the brand champion watching over USP, market positioning and brand consistency.
  • Participate in annual catalog production for Fine Art product line.

Requirements:

  • Consumer packaged good experience with 7+ years in marketing or brand management. Art materials or Creative industry experience preferred.
  • Bachelor’s degree (Business/Marketing or related field preferred)•Marketing experience with premium branded products.
  • Highly competent with sharp analytical and quantitative analysis skills.
  • Experience of managing and collaborating in an effective team environment.
